Junior Application Administrator (Bristol, London & North UK), Bristol

Role: Junior Application Administrator (Patricia)
Location: Bristol (also London and Northern UK)
Salary: £30k - £35k

An established IP firm is looking for a self-motivated individual with excellent IP and IT knowledge to work closely with their IT team on the implementation and successful day to day running of their new case management system.

The role will revolve around supporting the firm's Practice and Case Management System - Patricia. Helping to set up and transition from the firm's current case management system, including understanding and testing of the system. Going forward, this will include providing user support and providing holiday cover technical support of Patricia. This is a business role which will sit within the IT team.

Advanced Patricia training will be provided to the successful candidate.

Ideally the role will be located in Bristol with the majority of the IT team, however all UK office locations will be considered (London, Northern UK Offices - Please enquire for exact locations). This is a full time role (35 hours per week) however flexibility around start and end times, working days and remote working will be considered. This role is on an 18 month fixed-term basis, with the likelihood that this position would then become permanent.

Key Responsibilities:

* Configuring the 'out of the box' workflows based on requirements approved by the project team leaders.
* Help with the testing of any workflows created for the 'go live' date.

* System Configuration - Assist with the initial set-up of the system and future enhancements thereafter to include, but not limited to, the creation of:
- Document templates.
- Assist in the design and execution of simple reports embedded within Patricia.
- Assist with workflow creation for all areas of the business.
- Manage and set relevant permissions to ensure that users only access permissible areas of Patricia related to their particular job role.

* IT Support - Provide second line support to the users of the Patricia system.

* Application Support - Work with the UAT (User Acceptance Testing) group to ensure that all changes to the system are thoroughly tested and results fed back as appropriate.

* Working with data - Assist with the preparation and cleaning of data to permit bulk importing of data into Patricia; Occasional need to manually input or update large data sets.

* System Documentation - Document changes made to Patricia's configuration and maintain the library of changes; Ensure existing policies and procedures are followed when configuring Patricia and update where appropriate.

* Database Administration (SQL) - Provide holiday and absence cover for routine SQL tasks; Daily monitoring of scheduled tasks and backup.

Professional/Technical Skills:

* Good knowledge of IP, the dependencies/relationships and chronology thereof (Ideally CIPA qualified).
* Exposure to any enterprise document and/or case management system is essential.
* Training in Patricia will be provided for the following but previous experience in these types of work is preferred:
- Ability to configure workflows
- Report writing
- Creating dashboards
* Experience and basic understanding of databases and how they work.

Desirable Technologies:

* Any Patricia exposure would be desirable to have but not essential (training will be provided).
* Knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook) is essential, advanced knowledge of Excel would be considered a distinct advantage.
* Knowledge and experience of system testing procedures.


The role is a full time (35 hour week) position. Normal working hours would be 9.00am-5.00pm, with an hour for lunch, however alternative start/finish times will be considered. Flexibility around working days and remote working will also be considered for the successful candidate. Extra hours may be required to ensure duties are fully discharged and flexibility over end time would be appreciated. Overtime is not paid but time off in lieu may be applicable.
