Executive Assistant – (Intellectual Property) - International Law Firm

Job Description:

We are working with a leading international law firm in their search for an executive assistant to provide a high level of management and secretarial support to their IP department.
 
You will work closely with the Head of Department, partners and associates in large and high performing department. You will assist with the day to day management of the department as well as the line management of legal PAs and practice support staff. You will track all aspects of performance and manage and track objectives through giving regular one to ones. You will ensure effective PA cover is provided through periods of sickness and holiday, co-ordinate the appraisal process, identify talent and develop the team whilst managing underperforming staff, apply the full range of HR policies and deal with employee relation issues in conjunctions with HoD and HR. You will monitor skill levels in the department and formulate plans to upskill PAs when gaps are identified. You will attend monthly meetings with other EAs and HE regarding matters of common interest and actively share knowledge across the business.
 
You will be involved in the recruitment process for Legal PAs and other support team members and liaise with the HoD and HR to carry out the full range of recruitment activities. You will assist with the co-ordination and planning of departmental moves, trainee rotations and new starters. You will also assist with the co-ordination between HoDs and ensure effective communication between international partner groups, monitor and coordinate international partner visits, act as a point of liaising between the department and the KM team and liaise with the relevant departments to ensure workstation/desk assessments, H&S and facilities matters are taken care of effectively and efficiently.
 
The EA is expected to act as a role model to their PAs. You should have advanced IT skills, and advanced level of partner/client relations and become a support user on software and procedures.
